Most frequently asked
Where is the data physically stored and processed?
All contractual data is processed and stored exclusively on servers within the European Union or the European Economic Area (EU/EEA).
Does the infrastructure have recognised security certifications?
intrinsify GmbH does not operate its own physical servers but uses a serverless architecture within certified infrastructures. All cloud providers and data centres used have comprehensive high-security concepts and are certified to internationally recognised industry standards. You can find more information about the security certifications of the sub-processors in our list of sub-processors at clarity.intrinsify.de/docs.
Is content data used to train AI models?
No. No training takes place. intrinsify uses the data entered by the customer and the data arising in the course of using the SaaS service – including personal data, content data, usage data and aggregated analysis data – solely to provide the contractually agreed services. Any use of this data to train, fine-tune or improve AI models – whether by intrinsify itself or by the sub-processors or AI providers it engages – is expressly excluded.
This exclusion is anchored contractually: in the General Terms and Conditions of Use (version 1.2), the Data Processing Agreement (version 1.2) and the Technical and Organisational Measures (version 1.1), each effective 12 June 2026.
Which AI model is used? Where does the AI model process the data?
Semantic text analysis is performed using the "Gemini" model family. Access is exclusively via the Google Agent Platform (formerly Vertex AI). The instance of the model used runs exclusively in European data centres (EU/EEA).
How is the anonymity of participants technically guaranteed in surveys?
The system does not link individuals to their inputs. Participants use public access links that are converted server-side into random session tokens with very high entropy (266 bits). These tokens are tied neither to the browser, the device, nor the identity of the person.
Getting started & dialogue with Ray
Do I have to type or can I also speak?
That is entirely up to you. Clarity supports voice input, so you can simply speak your request. The dialogue is also possible in over 100 languages.
Who exactly is "Ray" and how do I have a good conversation?
Ray is your AI advisor in Clarity and acts as your personal, confidential sparring partner. It is best to talk to him like a colleague who knows you and wants to help you in your specific situation:
- Describe a concrete situation: Tell him about a recent experience at work.
- Pay attention to his observations: Ray will not simply nod along; he analyses your statements and makes observations about why things are the way they are.
- Stay in dialogue: Confirm or correct his assumptions. Together, you get to the core of the problem instead of just scratching the surface.
Do I need to know my problem exactly before I talk to Ray?
No, not at all. It is Ray's job to discover the actual problem behind the symptoms together with you. Simply describe what is on your mind, and then you work through it step by step.
What kind of information is most helpful for Ray?
Concrete observations and descriptions of situations in which you or your team interacted are best. Avoid premature interpretations or assigning blame. Instead, focus on what happened and what effects it had.
Do I have to have an answer to every follow-up question?
For Clarity, it is absolutely not important that you immediately have an answer to every question or appear to know everything. On the contrary: an "I do not know" is a valuable clue for him. It shows where the current limits of your knowledge or assessment lie – and that is exactly where we start. If you answer with "hmm, I do not know" or similar, that is an invitation for him to explore the situation together with you. That is exactly his role: not quizzing you on knowledge, but jointly discovering patterns and connections in your organisation – even where things are still unclear or there are no easy answers.
When is an observation saved by Ray in Clarity?
Clarity only saves an observation when you, as the user, agree with or confirm an assumption he has put forward. Phrases such as "Yes, that is right", "That is it!" or "Exactly" signal to Ray that his observation resonates and represents a useful insight. This insight is then saved as an observation in the background to expand the collective knowledge.
What happens if Ray misinterprets my situation?
If Ray does not capture your situation correctly or makes a wrong observation, that is not a problem. You can communicate this directly and correct Ray. Clarity learns from your feedback and adjusts its questions and assumptions accordingly to improve understanding.
Benefits & objectives
What distinguishes Clarity Survey from classic employee surveys?
Clarity does not look for individual mistakes or personal opinions, but for the patterns that emerge when many people interact within a system. It does not evaluate; it makes recurring patterns and their contribution visible. Employee surveys serve to statistically capture and classify opinions and moods in an organisation. Clarity conducts an individual conversation and responds to the situations and examples raised. The tool develops concrete assumptions about organisational patterns – and refines them in direct exchange with participants.
What is the purpose of taking stock of our organisational patterns?
We want to understand the "unwritten rules" of our organisation together – the hidden patterns and dynamics that shape behaviour, both the functional ones that contribute to success and the dysfunctional ones that limit us. We achieve this by:
- Sharpening our focus: We move away from symptoms and individual blame towards the underlying causes in the organisation's structures and culture.
- Depersonalising: We analyse the patterns, not the people. This relieves you and your team and allows for a more objective view of the connections.
- Identifying effective levers: When we understand why things are the way they are, we can make more effective decisions. Together, we look for the points where we can take action to initiate positive change.
Can Ray give me concrete instructions or solutions for my problem?
Ray is designed to help you understand the causes of problems and to empower you to develop solutions yourself. He will not give you ready-made "advice" in the sense of subject-matter expertise, but will support you in recognising and evaluating your own options for action tailored to your system.
Is Clarity also there to recognise and strengthen positive patterns and successes in the organisation?
Absolutely! Clarity helps you not only to identify challenges but also to recognise and understand the functional patterns and success factors in your organisation. This way, you can learn what works well and how these positive aspects can be preserved or even reinforced.
Data protection & data
Where is the data physically stored and processed?
All contractual data is processed and stored exclusively on servers within the European Union or the European Economic Area (EU/EEA).
Which sub-processors are involved in the data processing?
The current list of sub-processors can be viewed at clarity.intrinsify.de/docs.
Is data transferred to third countries (e.g. the USA)?
Where sub-processors based in the USA are involved, processing takes place primarily on their EU servers. Any legally required safeguards for potential third-country transfers are based on the EU-U.S. Data Privacy Framework (DPF) for certified providers, or on the EU Standard Contractual Clauses (SCC).
How is the anonymity of participants technically guaranteed in surveys?
The system does not link individuals to their inputs. Participants use public access links that are converted server-side into random session tokens with very high entropy (266 bits). These tokens are tied neither to the browser, the device, nor the identity of the person.
How are conclusions about individuals prevented in the analysis reports?
To prevent re-identification through certain response patterns, system-side aggregation rules apply. So-called "small cells" (groups too small to evaluate) are technically suppressed by defining minimum group sizes and combination locks for filters. Direct quotes or examples are only output once these thresholds are reached.
What deadlines apply to the deletion of personal data?
The deletion concept is based on strict data minimisation. System and security logs are deleted after 90 days. Content data is deleted 90 days after the end of the contract.
Is there a personal reference?
Yes. In the Survey, the potential to combine logs and content data (which we do not do) would make this possible. We therefore always assume a personal reference. In the Guide, we process personal data. The types of data can be viewed in the data processing agreement at clarity.intrinsify.de/docs.
Security & infrastructure
Does the infrastructure have recognised security certifications?
intrinsify GmbH does not operate its own physical servers but uses a serverless architecture within certified infrastructures. All cloud providers and data centres used have comprehensive high-security concepts and are certified to internationally recognised industry standards. You can find more information about the security certifications of the sub-processors in our list of sub-processors at clarity.intrinsify.de/docs.
How is the logical separation of different customers' data ensured (multi-tenancy)?
Through logical multi-tenancy in the software architecture, the system ensures that the dialogues and datasets of different customers are processed strictly separately. Any mixing is excluded.
Who has access to the processed data?
Access follows the principle of least privilege via a role-based authorisation concept. For system security reasons, administrators have strictly limited access (secured, among other things, by multi-factor authentication). Consultants and analysts generally work only with aggregated data and have no access to users' raw data.
Is it possible to restrict access by IP from the corporate network?
Yes, access to the Survey module and the interviews conducted can be restricted by an IP address or an IP range.
Is an architecture or data flow diagram available?
Yes, we can provide one on request. Often as part of an expert-to-expert call that takes place during the proposal phase.
AI & models

How is Clarity classified legally under the EU AI Act?
Clarity uses AI algorithms to evaluate content and is officially assessed as a low-risk system pursuant to Art. 52(1) of the EU AI Act. The required transparency obligations are met by informing users about the AI functions and providing information about how the AI algorithms work. There is no continuous monitoring of individuals, and no biometric data is processed.
What information obligations does the customer have towards its employees (users)?
The customer is responsible for informing its own users about the use of the AI functions in order to comply with the statutory transparency obligations under the EU AI Act. In particular, it must be ensured that users clearly recognise that they are interacting with an artificial intelligence. The Clarity application supports this process.
May automated decisions be made on the basis of the AI evaluations?
No. The AI algorithms serve only as autonomous support for decision-making. The generated content always requires human review before final decisions are made on its basis. Our HITL approach (human in the loop) supports this process where contractually agreed.
Legal & contracts
Is there a template for the data processing agreement?
At clarity.intrinsify.de/docs you can download our data processing agreement template. Our data protection advisor will also gladly review your own template in the context of an engagement. Simply send it to datenschutz@intrinsify.de.
Where can I find your TOMs?
You can find the current version of our technical and organisational measures at clarity.intrinsify.de/docs.
